Room Booking Terms and Conditions

By booking a room through Holistic Life Studios ("HLS"), I ("User") agree to the following terms:

1. Permitted Use

1. The rented office space may be used solely for client or group sessions and related business meetings.
2. I agree not to use the space for unlawful purposes or in any way that could damage the premises or HLS’s reputation.
3. I understand that office bookings are temporary in nature, and I will not leave behind personal belongings, especially documents that may include health information, attorney-client privileged materials, or any other sensitive data.
4. I will leave all areas in a clean and orderly condition after use.

2. Shared Facilities

I may access shared facilities designated by HLS, including restrooms, waiting areas, and kitchenettes (“Community Spaces”). I agree to use these areas respectfully and maintain cleanliness for the next user.

3. Conduct, Respect, & Behavior

1. I agree to treat HLS staff, fellow users, guests, and clients with respect at all times.
2. Aggressive, hostile, threatening, or otherwise inappropriate behavior toward others may result in immediate termination of my reservation without refund or credit, and may lead to a ban from future bookings or events.
3. I am responsible for the actions and conduct of anyone I bring to the premises.

4. Office Rules

I agree to follow these on-site rules at all times:

1. No guns, knives, or weapons of any kind are permitted on the premises, whether by providers or clients. (We recommend including this in your own intake paperwork.)
2. This is a non-smoking building. Smoking is also not permitted directly outside the building entrances or exits.
3. No animals are allowed on the premises except for ADA-recognized service animals (emotional support animals are not permitted).
4. No burning candles, incense, fragrance diffusers, or space heaters may be used on-site.
5. No excessive noise or activities that could disturb others or the office below (e.g., loud music, bouncing balls).
6. Doors must be closed during sessions or while rooms are in use, and open when unoccupied.
7. Users must vacate the space promptly at the end of the reserved time. If someone is in your reserved space, call 804-877-1945 for assistance.

FAILURE TO FOLLOW ANY OF THESE RULES MAY RESULT IN IMMEDIATE TERMINATION OF YOUR ACCESS WITHOUT REFUND OR CREDIT.

5. Conflict or Emergency Assistance

If another person is present in the space I reserved, or if I am unable to access assistance on-site, I will call 804-877-1945 for immediate support.

6. Cancellations & Credits

1. Cancellations made 48 hours or more in advance will receive a full refund.
2. Cancellations made less than 48 hours in advance are non-refundable, but will receive a full credit for future use.
3. No-shows without notice are not eligible for a refund or credit.
4. HLS reserves the right to cancel any unpaid reservation if payment has not been received by 5:00 PM EST on the day prior to the reserved time.

7. No Oversight Disclaimer

1. I acknowledge that HLS provides no legal, professional, or business oversight, and bears no responsibility for my business operations, client care, compliance obligations, or outcomes.
2. HLS is solely a shared workspace and mailing address provider.
3. This agreement creates a license for temporary space use only; it does not create an employment relationship, partnership, joint venture, or landlord-tenant relationship.

8. Compliance with Policies

I agree to follow all current and future policies and procedures set forth by HLS, including those related to office hours, security, maintenance, safety, and professional conduct.

9. Damages & Indemnification

1. I accept full financial responsibility for any damage caused by me or my invitees (clients, patients, guardians, etc.) to the premises or its furnishings.
2. I agree to indemnify and hold harmless HLS, its owners, staff, and affiliates from any claim or loss arising from my use of the space or the conduct of my guests.

10. Collections & Interest

Any unpaid balance will accrue interest at the maximum rate allowed by law. I agree to pay all costs of collection, including reasonable attorney’s fees, incurred by HLS to recover any past-due amounts.

11. Limitation of Liability

HLS shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including lost profits, loss of data, business interruption, or goodwill losses resulting from my use of the office space.

12. No Liability for Personal Property

I understand that HLS is not responsible for any lost, stolen, or damaged personal items. I bring items into the space at my own risk.

13. Miscellaneous

This Agreement shall be governed by and construed in accordance with the laws of the Commonwealth of Virginia, without regard to its conflict of laws principles. Any disputes arising under or in connection with this Agreement shall be subject to the exclusive jurisdiction of the courts located in Richmond, Virginia.
